POPIA Privacy Notice

Protection of Personal Information Act 4 of 2013 (POPIA)

1. Purpose

We process personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). This notice explains what we collect, why we collect it, and your rights as a data subject.

2. Information we collect

Account registration (name, company, email, phone), billing details (processed by our PCI-compliant gateway — we do not store full card numbers), call metadata and recordings (VoxaIP, where enabled), contacts and messages you store in VoxaIP, support tickets, and website analytics (anonymised where possible).

3. Lawful basis

Processing is based on contract performance (delivering subscribed services), legitimate interest (fraud prevention, product improvement), legal obligation (tax and regulatory records), and consent where required (marketing communications and optional call recording).

4. Sharing and cross-border transfers

We use sub-processors for hosting, payment, and email delivery. Primary data residency is within South Africa. Where data is transferred outside SA, we ensure adequate protection through standard contractual clauses or Regulator-approved mechanisms.

5. Retention

Account data is retained for the subscription period plus 5 years for financial records. Call recordings are retained per your plan settings (default 90 days) unless law requires longer retention. You may export CRM data at any time.

6. Your rights

You have the right to access, correct, delete, or restrict processing of your personal information, to object to direct marketing, and to lodge a complaint with the Information Regulator (inforeg@justice.gov.za). Contact our Information Officer to exercise these rights.

7. Security

We implement role-based access controls, encryption in transit and at rest, regular penetration testing, and staff POPIA training. Security incidents are reported to affected clients and the Regulator where required.
